rnWe are urgently looking for Administrative Assistants
rncapable of performing a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
rnMain Job Tasks and Responsibilities
rnanswer, screen and transfer inbound phone calls
rnreceive and direct visitors and clients
rngeneral clerical duties including photocopying, fax and mailing
rnmaintain electronic and hard copy filing system
rnretrieve documents from filing system
rnhandle requests for information and data
rnresolve administrative problems and inquiries
rnprepare written responses to routine enquiries
rnprepare and modify documents including correspondence, reports, drafts, memos and emails
rnschedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
rnprepare agendas for meetings and prepare schedules
rnrecord, compile, transcribe and distribute minutes of meetings
rnopen, sort and distribute incoming correspondence
rnmaintain office supply inventories
rncoordinate maintenance of office equipment
rncoordinate and maintain records for staff, telephones, parking and petty cash
rn
rnInterested applicants must possess a minimum degree of HND/B.A/B.Sc or any other higher qualification
