General Purpose
rn
rnProvides administrative, secretarial and clerical support to others in the office to maintain an efficient office environment.
rn
rnMain Job Tasks and Responsibilities
rn
rn answer phones and transfer to the appropriate staff member
rn take and distribute accurate messages
rn greet public and clients and direct them to the correct staff member
rn coordinate messenger and courier service
rn receive, sort and distribute incoming mail
rn monitor incoming emails and answer or forward as required
rn prepare outgoing mail for distribution
rn fax, scan and copy documents
rn maintain office filing and storage systems
rn update and maintain databases such as mailing lists, contact lists and client information
rn retrieve information when requested
rn update and maintain internal staff contact lists
rn co-ordinate and maintain staff administrative records such as staff parking, staff phones and company credit cards
rn type documents, reports and correspondence
rn organize travel arrangements for staff
rn co-ordinate and organize appointments and meetings
rn assist with event planning and implementation
rn monitor and maintain office supplies
rn ensure office equipment is properly maintained and serviced
rn perform work related errands as requested such as going to the post office and bank
rn keep office area clean and tidy
rn
rnEducation and Experience
rn
rn High School Diploma or equivalent
rn business college training an advantage
rn previous office experience may be requested but this can also be entry level position
rn competent computer skills including MS Office or equivalent
rn internet skills including use of e-mails, group messaging and data collection
rn numeracy and literacy skills
rn
