General Purpose

rnAttend to visitors and deal with inquiries on the phone and face to face. Supply information regarding the organization to the general public, clients and customers.

rnMain Job Tasks and Responsibilities
rn
rn answer telephone, screen and direct calls
rn take and relay messages
rn provide information to callers
rn greet persons entering organization
rn direct persons to correct destination
rn deal with queries from the public and customers
rn ensure knowledge of staff movements in and out of organization
rn monitor visitor access and maintain security awareness
rn provide general administrative and clerical support
rn prepare correspondence and documents
rn receive and sort mail and deliveries
rn schedule appointments
rn maintain appointment diary either manually or electronically
rn organize conference and meeting room bookings
rn co-ordinate meetings and organize catering
rn monitor and maintain office equipment
rn control inventory relevant to reception area
rn tidy and maintain the reception area
rn
rnEducation and Experience
rn
rn high school diploma generally required
rn knowledge of administrative and clerical procedures
rn knowledge of computers and relevant software application
rn knowledge of customer service principles and practices
rn keyboard skills
rn ability to work a switchboard
rn
